Privacy Policy
This Privacy Policy explains what Clip Caption Kit collects, why, and how long we keep it. The short version: your subtitle files and the deliverables generated from them are stored only for processing and deleted after 24 hours.
1. Your files and how long we keep them
When you upload a master SRT and a timeline CSV, we store those files only to generate your deliverables. Uploaded sources and the SRT, TXT and manifest files produced from them are deleted within 24 hours. We do not use your subtitle content for anything other than producing the deliverables you asked for.
2. What we collect
- Account email — the address you verify by email code or through Google sign-in. Used to identify your account and manage your plan.
- Sign-in security data — short-lived, hashed email verification codes and a session record that keeps you signed in.
- Plan usage — how many projects you have created and their subtitle-cue counts, so the Free and Studio plan limits can be enforced.
- Subscription status — if you subscribe to Studio, the subscription status we receive from our payment provider (subscription identifier, status and renewal date). We never see your card details.
3. Cookies
We set two functional cookies ourselves and no advertising cookies. Two analytics providers add measurement cookies of their own:
session— keeps you signed in. Removed when you sign out or after 30 days.g_state— a short-lived (10 minute) token that protects the Google sign-in flow against request forgery._ga,_ga_*(Google Analytics) — measure page views and traffic sources._clck,_clsk(Microsoft Clarity) — measure page views, clicks and scroll depth.
The analytics cookies are not used for advertising and are not linked to your account.
4. Anonymous usage events and session replays
To understand where the workflow breaks, the site records anonymous product events such as which tool page was opened, whether a file parsed, and whether an export was downloaded. These events contain only broad counters and fixed codes — cue counts grouped into buckets, clip counts grouped into buckets and error codes. They never contain caption text, CSV contents or file names, and they are not linked to your account. You can block them without losing any functionality.
Microsoft Clarity adds anonymized session replays and heat maps — where visitors click, scroll and pause. The text you work with is masked before it is uploaded: caption text, CSV lines, clip names and file names never reach the recording service. Google Analytics records page views and traffic sources only.
5. Third parties we rely on
- Cloudflare — hosting for the site, the database that stores account, usage and billing records, and object storage that holds uploaded files and generated deliverables until they are deleted.
- Google — optional "Sign in with Google", which shares your email address with us when you use it, and Google Analytics, which measures page views and traffic sources.
- Microsoft — Clarity, which records anonymized session replays and heat maps of how the site is used. Caption text, CSV lines, clip names and file names are masked, so they are never uploaded.
- Resend — delivery of sign-in verification emails.
- Lemon Squeezy — payment and subscription management for the Studio plan, as merchant of record.
These providers process data only to deliver their service to us.
6. Data retention
Uploaded subtitle files, timeline CSVs and the deliverables generated from them are deleted within 24 hours. Sign-in sessions expire after 30 days and verification codes expire within minutes. Account, plan-usage and subscription records are kept while your account is active. When you ask us to delete your account, we delete these records.
7. Your rights
You can request access to, correction of, or deletion of the personal data we hold about you by writing to support@clipcaptionkit.com. We will respond within a reasonable time.
8. Children
Clip Caption Kit is not directed at children under 13 (or the minimum age required by your local law). If you believe a child has created an account, contact us and we will remove it.
9. Security
Traffic is encrypted in transit, verification codes are stored only as hashes, sessions use opaque tokens, and payment webhooks are signature-verified. No system is perfectly secure, so we keep the data we hold to the minimum described above.
10. Changes to this policy
We may update this policy as the Service evolves. The "last updated" date above shows the current version. Material changes will be announced on the site.
